Why hours are half the math
Revenue per hour and jobs per hour are fractions, and most shops only own the top half. Revenue sits in FieldRoutes, hours sit in QuickBooks Time, and nobody does the division. Connecting QuickBooks Time hands PestMetrics the denominator, and the two most useful numbers in the building start computing every day without anyone exporting a timesheet.
What syncs, and how it gets cleaned
- Worked timesheets per employee, per day, matched to the right technician by employee number first, then by name, then by hand for the stragglers. Most crews never see the matching screen.
- Only worked time counts. Every timesheet carries a job code type, and paid time off and unpaid breaks are excluded by it. Paid breaks count, the same way payroll treats them.
- Each shift lands on the day QuickBooks Time says it happened, in the employee's own timezone. A shift over midnight books whole to its start date instead of being split by a guess.
- Missed clock-outs are caught. An open shift, or one past the sixteen-hour cap, contributes zero hours and flags an admin instead of quietly wrecking a week of averages.
- Hire and termination dates ride along from the employee list, so the tenure and retention panel fills in on its own.
The result is a denominator you can defend in a Monday meeting: real worked hours, per tech, per day, next to what that tech billed.
Setup, honestly
Generate an access token in QuickBooks Time under Company Settings, Add-ons, API. Paste it into Settings in PestMetrics. The token is tested against the QuickBooks Time API before it is saved, then stored encrypted and bound to your company. One token covers every office, because QuickBooks Time has no office concept to map.
From then on the sync reads one or two pages of timesheets per day for the whole company, well inside the QuickBooks Time API limit, and refreshes an expiring token on its own when you give it a refresh path.
No QuickBooks Time? Still fine
Hours are a setting, not a requirement. Everee, the FieldRoutes time clock and a CSV upload are the other three sources, and switching is one click in Settings. One honest warning: per-hour metrics are only as good as the clock discipline behind them. PestMetrics catches the forgotten clock-outs and leaves PTO out, but a crew that never clocks in beats every tool ever built.
Common questions
Is this the same as TSheets?
Yes. TSheets was renamed QuickBooks Time. If your crew still calls it TSheets, it connects exactly the same way.
Do I need Everee or a payroll connection too?
No. QuickBooks Time is a complete hours source on its own. Revenue comes from FieldRoutes, hours come from QuickBooks Time, and PestMetrics does the division.
What do I need to connect?
One access token, generated inside your own QuickBooks Time account under Company Settings, Add-ons, API. Paste it once in Settings. PestMetrics tests it against the API before saving, so a bad paste is refused instead of stored.
Does vacation count as worked hours?
No. Every timesheet carries a job code type, and only regular time and paid breaks count. Paid time off and unpaid breaks are excluded, the same way payroll treats them. Counting a PTO day as worked time would drag every per-hour number, so the rule is tested against every job code type.
What about GPS and geofencing?
PestMetrics reads hours, not locations. QuickBooks Time keeps doing what it does on the phone; PestMetrics only needs the timesheet totals.
What happens when the token stops working?
The connection shows Failing in Settings and an admin is notified once. No zeros are written and no hours are guessed; the per-hour numbers pause until a new token is pasted.
